Call for Financial and Administrative Assistant for 2024-2025 Season

Position Title: Financial and Administrative Assistant

Located: on site at Tett Centre for Creativity and Learning, Kingston Ontario

Start Date: June, 2024

Schedule: Flexible - evenings and Saturday/Sunday hours.

Hours per week: Negotiable. Minimum 22 hours and maximum 35 hours.

Hourly rate: $18-$24

Kingston School of Dance (“KSD”) is one of Kingston’s oldest and only non-for-profit dance school. It offers a beautiful space and likeminded caring professionals who are passionate about artistic expression, the community, and bringing excellence to the world of everything dance.

Currently we are looking for a Financial and Administrative Assistant to provide support to the Board of Directors, and Artistic Director.

You will report to the Artistic Director, and support the Board of Directors.

Your day to day will be interfacing with both the community, students, and your colleagues, while supporting documentation, administration, financial tasks, audits, reporting, analysis and the organization on the back end. 

Roles and Responsibilities;

-          Receiving, processing, and tracking KSD payments
-          Managing sales, and sales records with stakeholders
-          Stakeholder payment management and communication
-          Reconcile account and submit to Finance Committee for review and approval
-          Validate timesheets and submit to Treasurer for approval  
-          Compiling financial reports to support budget planning, grant reporting and audits  
-          Full KSD document management, creation of organization system.    
-          Assisting in marketing, communication, and community outreach initiatives in collaboration with the Board and the Artistic Director
-          Front Desk support, such as answering inquiries in person or by phone, and overall front desk management, including maintaining the functioning and cleanness of the space.
-          Other administrative tasks in support of programming, performance and/or as assigned by the Artistic Director

Qualification:

·         Post-secondary education in finance or office administration
·         Experience in bookkeeping, preparing financial report and general office administration and front desk customer service.

Competencies:

·         Strong written and verbal communication skills.
·         Strong organizational and business skills, with a high attention to detail.
·         Strong computer skills with experience in Excel, Quickbooks, Revenue Trackers, DSP.
·         Strong customer service and conflict resolution skills.
·         Ethical standards in managing confidential and sensitive information.
·         Positive attitude and willingness to learn and improve business operations.
